• Email Template for Expanding Group Fitness Format

  • Expanding a new group fitness format is both exciting and daunting. Here are some email templates I’ve sent out to fitness facilities. Feel free to modify, use pieces of these, and use the following tips:

    • Research who the Group Fitness/Exercise Manager (GXM) is at that facility and send your email directly to them Make the email as personal as possible Use the recipient’s name, the facility name, and any connection you may have to the facility If you can teach or sub ANY additional formats, it’s important to include so they know you can help other instructors when needed Even if you only teach one format, such as U-Jam Fitness, make sure you note that you can sub for any dance fitness format
    • Follow up, follow up, follow up. Sometimes these emails are answered, sometimes they’re not. Wait a week, then send another email. Then if you haven’t heard back, make a phone call. If that doesn’t work, try to find out when the Group Fitness Manager will be at the facility and stop by to introduce yourself.

MOST facilities will request a fitness resume and copies of your certifications. Have these available.

    Hi John Doe,

I recently moved to the SLC area from San Francisco where I've been a group fitness instructor for the past three years. I’m AFAA certified and teach cardio circuit, U-Jam Fitness (cardio dance), cycle, Insanity, and barre classes and wanted to reach out to see if there are any teaching or sub opportunities available at the XYZ facility. I've heard great things about your facility from two of my friends who work there, Jane Doe and Joe Doe. I'd love to chat with you about any teaching opportunities you have available. Looking forward to hearing from you.

    Sincerely, Cassidy B.

    Good afternoon John Doe,

My name is Cassidy and I've been teaching group fitness classes for the past 5 years and would love to know if you have any openings for instructors at the University Field House. I'm currently a grad student at the business school and would love to get involved at the Field House as well. I've been teaching dance fitness through 24 Hour Fitness in Utah since I moved here last year and also have taught circuit (HIIT, Tabata, etc), Cycle, Barre, Insanity, and aqua at The Gym at City Creek. I would love to discuss the possibility of an audition over the phone. I look forward to hearing from you.

    Best, Cassidy B.

    Hello John Doe,

My name is [Your Name], I'm a U-Jam Fitness Instructor located here in [LOCATION, STATE]. I am reaching out to you to request a brief meeting to introduce a rapidly growing, fresh dance fitness class called U-Jam Fitness®.

I'm not sure if you've heard much about U-Jam, but I'm really excited to share another great class option for your facility and members. U-Jam Fitness® is an athletic hip-hop dance fitness workout that combines dance and high energy music for a workout that is bound to get your heart rate up, your body moving, and make you work up a sweat -- all while having FUN!

We have some amazing instructors in the nearby area who are looking to share their passion with you. On a personal note, since we have introduced U-Jam Fitness here in Southern California,

    I’ve seen:

    • An influx of dance fitness enthusiasts reignite their passion for fitness
    • Membership growth Increased number of guest visits and revenue Increased level of fitness in our dance fitness population
    • A fresh platform to launch fitness to our community

Please respond with your thoughts so I can have an opportunity to set up a time to meet with you. I also have a video attached describing U-Jam Fitness®, the growth of the U-Jam Fitness program over the years, and some of our instructors dancing at U-Jam 6-Year Anniversary Party. Take a look at the influence on the large crowd in this dance fitness community.
