Email Template for Expanding Group Fitness Format
Expanding a new group fitness format is both exciting and daunting. Here are some email templates I’ve sent out to fitness facilities. Feel free to modify, use pieces of these, and use the following tips:
- Research who the Group Fitness/Exercise Manager (GXM) is at that facility and send your email directly to them Make the email as personal as possible Use the recipient’s name, the facility name, and any connection you may have to the facility If you can teach or sub ANY additional formats, it’s important to include so they know you can help other instructors when needed Even if you only teach one format, such as U-Jam Fitness, make sure you note that you can sub for any dance fitness format
- Follow up, follow up, follow up. Sometimes these emails are answered, sometimes they’re not. Wait a week, then send another email. Then if you haven’t heard back, make a phone call. If that doesn’t work, try to find out when the Group Fitness Manager will be at the facility and stop by to introduce yourself.
MOST facilities will request a fitness resume and copies of your certifications. Have these available.

I’m AFAA certified and teach cardio circuit, U-Jam Fitness (cardio dance), cycle, Insanity, and barre classes and wanted to reach out to see if there are any teaching or sub opportunities available at the XYZ facility. I'm currently a grad student at the business school and would love to get involved at the Field House as well. I've been teaching dance fitness through 24 Hour Fitness in Utah since I moved here last year and also have taught circuit (HIIT, Tabata, etc), Cycle, Barre, Insanity, and aqua at The Gym at City Creek.
